Privacy Policy

This policy explains what information Connect collects, how we use and share it, and the choices you have. It applies to the Connect website, the web app and the Connect mobile apps for iOS and Android.

Who we are

Connect is a membership management platform operated by Webforx ("Webforx", "we", "us"). Clubs, societies, associations and community groups use Connect to manage their members, dues and savings, events, voting, communication and more.

In this policy, "Connect" or "the service" means the website at wftconnect.com, the Connect web app and the Connect mobile apps.

Organizations and their members

Most of the information in Connect is added and managed by an organization for its own members. The organization decides what to record, who can see it and how long to keep it, and is responsible for that information. We process it on the organization's behalf to provide the service.

If you have a question about information an organization holds about you, such as your membership record or payment history, please contact that organization first. We will help it respond to your request.

Information we collect

Information you give us

  • Account details: your name, email address, phone number and password. Passwords are stored only as a one-way hash, never in readable form.
  • Profile details: such as your photo, gender, country, address and preferred language, if you choose to add them.
  • Content you create: announcements, comments, messages, voice notes, event details, votes, documents, photos and other files you share in Connect.
  • Financial records: dues, contributions, savings rotations, donations, charges and payment references recorded by you or your organization, and the payout details administrators add so the organization can receive funds.
  • Listings: businesses, services and events you publish in the Connect directories.
  • AI assistant: the questions you ask the assistant and the answers it gives.
  • Support requests: what you tell us when you contact support.

Information from others

  • Your organization: administrators may invite you or add you to a member list with your name, email address, phone number and role, including by importing a spreadsheet.
  • Google: if you sign in with Google, we receive your name, email address and profile photo from your Google account.
  • Payment processors: when you pay through Connect, the payment processor tells us whether the payment succeeded, with details such as the amount and date. You enter card details with the processor, and we never receive or store your full card number.

Information collected automatically

  • Device and usage data: IP address, browser and device type, operating system, app version, the pages or screens you use, and error logs. We use this to keep the service secure and working.
  • Notification tokens: if you allow notifications, an identifier for your browser or device so we can deliver them.
  • Cookies and browser storage: described under Cookies and similar technologies below.
  • Location: only if you allow it in your browser or device, to show results near you.

How we use information

We use the information described above to:

  • provide and run Connect, including your account, your organizations and the features they use
  • sign you in, keep your account secure, and detect fraud, abuse and misuse
  • process payments and keep accurate financial records for your organization
  • send you messages about the service, such as invitations, receipts, reminders, notifications and security alerts
  • show nearby businesses, services and events when you share your location
  • answer your questions through the AI assistant and our support team
  • monitor performance, fix problems and improve Connect
  • meet our legal obligations and enforce our terms

We do not sell your personal information, and we do not use it for third-party advertising.

Device permissions (mobile apps)

The Connect mobile apps ask for access to a device feature only when you use something that needs it. Each permission is optional, and you can change your choice at any time in your device settings.

  • Location: to show services, businesses and events near you. Location is used only while you are using the app.
  • Microphone: to record voice messages you choose to send.
  • Photos and media: to attach photos and videos you pick, and to save images and videos you download.
  • Calendar: to add events you choose to save to your calendar.
  • Notifications: to alert you about messages, events, payments and other activity.

How we share information

  • Within your organization: members and administrators see information according to their role. For example, administrators can see membership and financial records, and other members can see what you post in shared spaces.
  • In public directories: businesses, services and events you publish to the public directories can be seen by anyone, including people who do not use Connect.
  • With service providers: companies that help us run Connect, such as cloud hosting, email delivery, real-time messaging and push notification services (including Apple and Google), payment processors such as Stripe and PayPal, Google Sign-In, and the AI model provider behind the assistant. They may use your information only to provide their services to us.
  • For legal reasons: when we believe disclosure is required by law, or is needed to protect the rights, property or safety of our users, the public or Webforx.
  • In a business transfer: if Webforx is involved in a merger, acquisition or sale of assets, in which case this policy continues to apply to your information.
  • With your consent: in any other case where you have asked us to share it.

Cookies and similar technologies

Connect uses a small number of cookies and browser storage items that the service needs to work:

  • Sign-in cookies keep you securely signed in.
  • Preference cookies remember which organization you are working in.
  • Invitation cookies complete an invitation link you opened before signing in.
  • Browser storage remembers your language.

We do not use advertising cookies or third-party tracking cookies. If you block cookies, you will not be able to sign in.

How long we keep information

We keep your information for as long as your account is active and your organizations use Connect.

When you delete your account, or an organization stops using Connect, we delete or anonymize the related information within a reasonable time. We may keep some information longer where we need it to meet legal, tax or accounting obligations, resolve disputes or enforce our agreements. Copies in backups are removed as the backups are replaced.

Organizations may need to keep financial records about their members for their own legal or accounting reasons, even after a member leaves.

Security

We protect your information with measures such as encryption in transit (HTTPS), hashed passwords, role-based access within each organization, and secure storage of sign-in credentials on mobile devices.

No system is completely secure. Please use a strong, unique password, and contact us straight away if you think someone has accessed your account without your permission.

Your rights and choices

Depending on where you live, you may have the right to:

  • access the personal information we hold about you and get a copy of it
  • correct information that is inaccurate or incomplete
  • delete your account and personal information
  • object to or restrict some processing, and withdraw consent you have given
  • complain to your local data protection authority

You can update most profile details and notification preferences yourself in Settings. For any other request, email us at privacy@wftconnect.com. We may need to verify your identity first, and we will respond within the time required by applicable law. If your request concerns information an organization manages, we may refer it to that organization.

International transfers

Connect is hosted in the United States, and our service providers may process information in other countries. When your information is transferred across borders, we protect it as described in this policy and as required by applicable law.

Children

Connect is not directed to children under 13, or under the minimum age required in your country, and we do not knowingly collect their personal information. If you believe a child has given us personal information, contact us and we will delete it.

Changes to this policy

We may update this policy from time to time. We will post the new version on this page and change the "Last updated" date. If a change is significant, we will also tell you in the app or by email before it takes effect.
